Easily incorporate email notifications into
your mass notification solution
Long gone are the days when email was seen as the future of communications and messaging. Things have certainly moved on. Yet despite the introduction of SMS, Social media and chat apps, email notifications still has an important role to play in messaging solutions. For one thing it can carry more content (no character count limitations) and media. But perhaps more significantly it is still a medium preferred by business, who tend to still rely on older forms of communication.
Whilst email notifications don’t command the immediate attention that SMS or a phone call can, it does have a role for providing timely, scheduled information that can be easily stored, downloaded and considered.
Email notifications have a key role to play in many applications – from “you have a bill to pay”, through to emergency notifications. Regardless of notification type, careful consideration in needed to ensure vast volumes of messages can be sent, quickly; that the message sent conveys and contains all the key elements required to ensure a message is seen, believed and acted upon; that you can scheduled email notifications – dates, time, frequency; and finally that you can monitor delivery status. The Alerting Hub API addresses all these points ensuring the specific requirements of your solution are met.
For email notifications to have the desired impact and generate the desired response, a number of different message components are required. Through Alerting Hub’s API you can incorporate all of them into your solution.
Sender ID – Instil confidence in respondents that the message being received is genuine and deserves attention. Easily change the Sender ID to reflect your company or your clients.
Attachments – quite often the email, in addition to providing instruction, is the carriage of additional documentation – a map, invoice, etc. With Alerting Hub you can add attachments of up to 8MB easily.
Embedded URLs – include links to notification specific landing pages, where recipients can gain further information and guidance, or complete the action required.
Embedded phone number – Include phone numbers within the message to enable recipients to call for assistance.
Alerting Hub partners with a number of email service providers to ensure all messages are sent out as quickly as possible – at a minimum you can expect to send 100k messages in one alert.
The ability to schedule when an email-based alert is sent can bring greater flexibility to your solutions and help safeguard against alerts being sent by mistake. Using the Alerting Hub API you have a number of options.
Immediate – the system administrator either creates from scratch or selects from a template the message to be sent and who too – and then hits the send button.
Confirmation – to help ensure messages aren’t sent in error, scheduling can be incorporated into the process enabling a “Are you sure you want to send this” request prior to the system administrator confirming the message is to be sent.
Scheduled – An email can be schedule to go out on a particular day, time or date. For automating a number of business activities – bill payments – a system administrator can create the notification and then choose when they should be sent out. Depending on the outcomes and actions taken following previous notifications, additional notifications can also be scheduled.
Cancellation of scheduled alert – finally you need the ability to cancel a scheduled alert
Knowing that a notification has been sent successfully and it’s response status (opened, action taken) is critical. The system can then trigger follow-on actions in the event a message doesn’t get through or a recipient hasn’t taken the desired action. With Alerting Hub this data can be gleaned in two ways – polled or real-time (event driven)
Email notifications bring many advantages to a mass notification system, but sending alerts through a number of different channels is often the best way to ensure the message gets through. For this reason it is important to use a platform that has access to multiple channels of communication. Alerting Hub can support alerts being sent via SMS, Voice, email and more.
